Clearing Document Attributes

###1.Purpose:

The "Clearing Document Attribute" table provides a flexible way to attach additional, specific information to clearing documents. This can be useful for tracking document details beyond the standard fields, categorizing documents based on specific criteria, or ensuring mandatory information is captured.

###2.Accessing the "Clearing Document Attribute" Table:

The "Clearing Document Attribute" table is not a standalone form that you access directly. Instead, it is embedded as a child table within another DocType (likely a main "Clearing Document" or similar document).

To access and manage these attributes, you will need to open the relevant parent Clearing Document where this table is included. Look for a section or table labeled "Clearing Document Attributes" or something similar within the parent document's form.

###2.1 Understanding the Table Structure:

The "Clearing Document Attribute" table has the following columns:

Column Name Description
Document Attribute The name or type of attribute you want to define for the clearing document (e.g., "Reference Number", "Source System", "Approval Status").
Document Attribute Value The specific value for the corresponding "Document Attribute" (e.g., "REF-2024-123", "SAP", "Approved").

| mandatory | (Hidden) An internal flag indicating if the "Document Attribute Value" is mandatory for this row.

###3. Using the "Clearing Document Attribute" Table:

Within the parent Clearing Document form, you will typically see an empty table or a table with existing attributes. Here's how to manage the attributes:

##3.1 Adding a New Attribute:

  • Locate the "Clearing Document Attributes" table.
  • Look for an "Add Row" or a similar button below the table. Click this button to add a new empty row.
  • In the newly added row:
    • Document Attribute: Enter the name of the attribute you want to track. Be clear and concise with the attribute name.
    • Document Attribute Value: Enter the specific value for this attribute for the current clearing document.
    • Mandatory: You will likely not be able to directly edit the "Mandatory" checkbox. This field's behavior is controlled by other settings within the system. In some cases, certain "Document Attributes" might be pre-configured to automatically make their corresponding "Document Attribute Value" mandatory.

Example Scenario:

Let's say you are processing a clearing document and need to record a specific internal reference number for tracking purposes.

  1. Open the relevant Clearing Document form.
  2. Navigate to the "Clearing Document Attributes" table.
  3. Click "Add Row."
  4. In the "Document Attribute" field, enter "Internal Tracking ID."
  5. In the "Document Attribute Value" field, enter the specific tracking ID (e.g., "INT-2025-001").
  6. If the system requires an "External Approval Status" for certain clearing documents:
    • Add another row.
    • In "Document Attribute," enter "External Approval Status."
    • In "Document Attribute Value," enter the current status (e.g., "Pending," "Approved," "Rejected"). If "External Approval Status" is configured as mandatory, you will not be able to save the Clearing Document without providing a value.

###4.Important Considerations:

  • The specific "Document Attributes" available to you might be pre-defined by the system administrator.
  • The behavior of mandatory attributes is determined by the system's configuration.
  • Always ensure that the information you enter is accurate and relevant to the clearing document.
